Mac apps that work offline: what keeps going without internet, and what to set up first
Most of a Mac works without internet: Finder, Spotlight, Photos, Preview, Notes, Pages and any app that keeps its files on the Mac. What stops working is anything that does its job on a server, such as online translators and cloud dictation. Download what you need while you’re still connected, and for dictation, translation and search, use apps that run entirely on the Mac, so they keep going with Wi-Fi off.
What keeps working offline
- Your files: everything stored on the Mac, in Finder, Pages, Numbers, Keynote, Preview and TextEdit.
- Spotlight (⌘Space) finds files, apps, e-mails and notes already on the Mac.
- Photos searches its library by what is in the pictures, as long as the photos are on the Mac.
- Mail and Messages show what they have already downloaded; new messages wait until you’re back online.
- Screenshots (⇧⌘5) and Live Text, which copies text out of an image.
What doesn’t: anything that relies on a server, such as web search, page translation in Safari, many AI features and cloud documents you never downloaded.
Before you go offline: a checklist
- Files in iCloud Drive: in Finder, Control-click the folder you will need and choose Keep Downloaded.
- Photos: if you use iCloud Photos, choose Photos › Settings › iCloud › Download Originals to this Mac, if the disk has room.
- Translation: in System Settings › General › Language & Region › Translation Languages, download each language you’ll need.
- Apps with a model: open each one once while you’re connected. Volna downloads its speech model on first use, Kalila downloads each language once, and Seekframe has to look through your folders before it can search them.
Apps that do the real work offline
Our other apps don’t need a connection either. SimpleShot captures, records, marks up and hides personal details offline; only links and time proofs need the internet. Seekframe finds your photos and videos from a description offline, and with Pro it even remembers what’s on a drive that isn’t plugged in. Textbound turns a Messages conversation into a PDF with Wi-Fi off.
Three common situations
- A long flight: dictate drafts with Volna, translate the documents for your meeting with Kalila, and find the slides you need with Spotlight.
- A cabin with no coverage: find the shot you need in a day of footage by describing it in Seekframe, and dictate the notes for it with Volna.
- A secure room where networks are banned: every app on this page does its job with Wi-Fi off; just download the models and languages before you go in.
Questions
Can I use dictation offline on a Mac?
Built-in dictation works offline only on the Macs and in the languages where it runs on the device; in System Settings › Keyboard, the note under Dictation says whether yours does. Volna works offline in every language it offers, once its speech model is downloaded.
Can I translate offline on a Mac?
Yes. Download the languages in System Settings › General › Language & Region › Translation Languages and turn on On-Device Mode, or use Kalila, which translates on the device by design. Safari’s page translation still needs the internet.
Does Spotlight work without internet?
Yes, for everything on your Mac: files, apps, mail and notes. What disappears are web suggestions and results from online services.
Do offline apps need internet at all?
Usually just once, to download the app and its model or languages, and later to check for updates. The work itself happens on the Mac.
